Terms & Conditions

These terms apply to every booking for The Art Hut's after-school art clubs, run by The Art Hut Studio Ltd ("The Art Hut", "we"). By booking a place, you (the parent or carer) agree to them.

1. Booking and fees

  1. Places are booked one term at a time and are confirmed once the booking form is completed and payment is received.
  2. The term fee depends on the number of sessions in that term, so it can change from term to term. The fee and number of sessions are shown on the booking form before you pay.
  3. Payment is due in full at the time of booking. A place is not held until it is paid for.
  4. Places are limited and offered on a first-come, first-served basis.
  5. Pupil Premium families: please contact your school office before booking. The school will confirm eligibility and how the place will be funded.

2. Cancellations and refunds

  1. Cooling-off period: you can cancel within 14 days of booking for a full refund. If sessions have already taken place in that time, we will deduct the cost of the sessions attended.
  2. After 14 days: fees are non-refundable and cannot be transferred to another term, except where the reasons below apply.
  3. Missed sessions: sessions missed because of illness, holidays or other absence are not refunded and cannot be made up.
  4. If we cancel a session (for example staff illness or a school closure we are told about in advance), we will offer a replacement session or a refund for that session.
  5. School closures at short notice (snow days, emergencies) are outside our control. We will offer a replacement session where we can.
  6. Withdrawal by The Art Hut: we may withdraw a place if a child's behaviour puts others at risk (see section 5). In that case we will refund any sessions not yet taken.

3. Collection at the end of the session

  1. Sessions finish at the time shown for each club (for example 4:15pm). Please collect your child promptly.
  2. We will only hand a child over to you or to an adult named on the booking form. To add someone, please message us before the session.
  3. If someone not on the form arrives, we will contact you before letting your child leave.
  4. If your child is going to the school's after-school care, we will take them there at the end of the session.
  5. Children may only leave on their own if you have given written permission on the booking form.
  6. Late collection: if nobody has arrived 15 minutes after the session ends and we cannot reach you or your emergency contact, we will follow the school's procedure for uncollected children. Repeated late collection may incur a charge.

4. Health, safety and safeguarding

  1. Please tell us about any medical conditions, allergies or additional needs on the booking form, and let us know straight away if anything changes.
  2. Please keep your child at home if they are unwell or have been sick in the last 48 hours.
  3. All Art Hut staff are paid members of staff with an enhanced DBS check. We do not use volunteers.
  4. We follow the safeguarding policy of the school where the club runs. Any safeguarding concern is reported to The Art Hut's director, who works directly with the school's Designated Safeguarding Lead.
  5. In an emergency we will contact you first, then your emergency contact. If we cannot reach either and urgent care is needed, we will seek medical help.

5. Behaviour, clothing and artwork

  1. We expect children to be kind, listen to staff and look after materials. We follow the school's behaviour approach.
  2. If a child's behaviour is unsafe or repeatedly disrupts others, we will talk to you first. If it continues, we may withdraw the place (see section 2).
  3. We use paint, clay, pastels and other messy materials. We provide aprons, but we cannot accept responsibility for damage to clothing.
  4. Artwork is usually taken home at the end of each session or project. Work left uncollected at the end of term may not be kept.

6. Photos and your information

  1. We only photograph your child in line with the consent you choose on the booking form. We never publish children's names.
  2. We may share photos of children's artwork on our website and social media. Artwork photos never show a child's name.
  3. You can change or withdraw your photo consent at any time by emailing [email protected]. We will stop using the photos from then on.
  4. We use the information on the booking form only to run the club, keep your child safe and contact you about bookings. Medical information is shared only with the staff running your child's session.
  5. We never sell your information or share it for marketing. We may share it with the school or emergency services where needed to keep your child safe.
  6. We keep booking information only for as long as we need it to run the club, then delete it, unless we need to keep it longer for legal or safeguarding reasons.
  7. You can ask to see, correct or delete the information we hold about you and your child by emailing us.
